Privacy Policy

E-SarabunYW (“we”, “the Service”) is an Electronic Document Management System that schools use to manage their official documents. This Privacy Policy explains how the Service handles personal information. Each school that uses the Service controls its own users and documents (the school is the data controller); we operate the platform and process data on the school’s behalf as a service provider. By using the Service, you agree to the practices described below.

The Service collects the following data to operate:

• Account information — your name, employee ID / email address, and phone number.
• Documents and content you create or upload — official documents, attached files, notes, and signatures.
• Identifiers — a user account ID and a device identifier (used to deliver push notifications).

We use your information solely to provide the Service’s functionality, including:

• Authenticating you and securing your account
• Routing, displaying, signing, and tracking documents in the workflow
• Sending notifications about documents assigned to, returned to, or completed by you

• We do not use your data for tracking or advertising.
• We do not sell or rent your data, and we do not share it with data brokers.
• We do not use third-party analytics or advertising SDKs in this app.

The Service uses Google Firebase (Authentication, Cloud Firestore, Cloud Storage, Cloud Functions, and Cloud Messaging) as a sub-processor to provide sign-in, data storage, and notifications. Data is processed by Google under Google’s privacy terms. policies.google.com/privacy

All data is transmitted over encrypted connections (HTTPS/TLS). Each school is a separate tenant: data is isolated per school, and access to documents is restricted by role and by each document’s workflow chain. These rules are enforced on the server.

Documents and their activity history are retained as part of each school’s official records. Notification history is retained for approximately 90–180 days. Account data is retained while your account is active.

This app is intended for school staff and is not directed at or intended for use by children.

You may request access to, correction of, or deletion of your personal data. Because your school is the data controller, please direct such requests to your school; you may also contact us and we will assist the school. Some records may be retained where required for official document-keeping.
